Staying productive while traveling has always been a challenge for me. At home, routines make it easier to maintain productivity. However, when I’m on the road, staying productive—whether for fitness, work, or personal growth—becomes more difficult as normal habits and routines are often disrupted.
As a pilot, I rely heavily on checklists, procedures, and flows. Translating these techniques into productivity systems has enabled me to maximize my efficiency while traveling. Over the years, I’ve developed systems that work well for me, and I plan to share more about them in future articles. For now, here’s a simple three-step system you can start implementing today to stay productive while traveling.
1. Master Your Time Management
Mastering time management starts with using an effective tasking system. I use a phenomenal program called TeuxDeux to itemize, prioritize, and schedule my tasks. I also follow the Franklin Covey system, which helps me prioritize tasks based on their impact and meaning. My top priorities typically include spiritual, physical, social, and emotional tasks.
I dedicate mornings to quiet time and reflection, tackle fitness activities first, and reserve afternoons for tasks that require less brainpower. My approach boils down to three simple rules: set clear priorities, time block, and embrace flexibility.
- Set Clear Priorities: Before your trip, outline the tasks that absolutely must get done and those that can wait. Focusing on high-priority items prevents overwhelm and ensures progress.
- Time Blocking: Allocate specific time slots for work and personal activities. Tools like Google Calendar or TeuxDeux can help you organize your day and stay on track.
- Embrace Flexibility: Travel plans can shift unexpectedly, so adapt your schedule as needed. Building flexibility into your plan ensures that key tasks still get done despite delays or changes.
2. Optimize Your Workspace
Whenever I check into a hotel, I make it as comfortable and functional as possible. I use extra towels to cover furniture for cleanliness, sometimes rearranging the desk to face a window for a better view. If the hotel environment doesn’t work for me, I find another spot—like a café or lounge—that’s more conducive to productivity.
Here are my three rules for creating an optimal workspace:
- Choose the Right Environment: Whether it’s a hotel room, airport lounge, or local café, select a spot with good Wi-Fi, minimal distractions, and comfortable seating to enhance focus and productivity.
- Bring Portable Tech Essentials: Always carry the tools you need for a productive work session, such as a laptop, chargers, noise-canceling headphones, and a mobile Wi-Fi hotspot.
- Balance Work and Exploration: Schedule focused work periods and allow time to explore or relax. This balance helps you maintain a fresh mindset and avoid burnout while traveling.
3. Maintain Focus and Well-Being
“Garbage in, garbage out” applies to both your productivity and your overall well-being. Traveling shouldn’t be an excuse to neglect your health—you only get one body, and it needs to last. Taking care of your mind and body is essential for sustaining energy, avoiding distractions, and maintaining healthy habits from home while on the road.
- Mind Your Energy: Stay energized by eating nutritious meals, hydrating often, and getting enough rest. These habits keep you sharp and focused during work hours.
- Avoid Distractions: Limit social media and unnecessary browsing during work time. Apps like Focus@Will or Pomodoro timers can help you stay on task.
- Stick to Healthy Habits: Incorporate brief exercise or stretching routines to stay active. Take regular mental breaks to prevent burnout and maintain focus throughout the day.
